We are looking for an organized and customer-focused Administrative Assistant to join our team in Qatar. The ideal candidate will play a key role in supporting the day-to-day operations of our tour agency by assisting with various administrative tasks, including scheduling, managing customer inquiries, handling bookings, and ensuring smooth communication between team members and clients.
Experience
- Prior experience in administrative roles, preferably in the travel or tourism industry.
Qualification
- Strong organizational and communication skills.
- Customer-focused attitude and passion for travel.
Responsibilities and Requirements
Customer Service & Communication:
- Answer and respond to phone calls, emails, and in-person inquiries from clients and suppliers.
- Provide information about available tours, packages, and travel services.
- Assist in handling client bookings and reservations.
- Coordinate communication between clients, tour operators, and service providers.
Scheduling & Coordination:
- Assist with planning and scheduling of tours and itineraries.
- Coordinate logistics for group tours, including accommodations, transportation, and activities.
- Update and maintain the company calendar to ensure smooth execution of all tours.
Documentation & Record-Keeping:
- Prepare and maintain booking records, contracts, and other administrative documents.
- Ensure client information is entered accurately into the database and files are kept up-to-date.
- Assist with invoicing, receipts, and billing processes.
Support for Sales & Marketing:
- Assist with the preparation of marketing materials for promotions, including brochures, flyers, and email campaigns.
- Help with social media management and content creation.
Office Management:
- Ensure the office runs smoothly by ordering supplies, maintaining inventory, and managing office equipment.
- Handle general administrative duties, such as filing, faxing, and organizing.
